Terms of Service

Last updated October 12, 2026

1. Agreement

These terms govern your use of RestaurantOpsApp, a web-based software application for restaurant food cost management operated at restaurantopsapp.com. By creating an account or using the service you agree to these terms. If you are agreeing on behalf of a business, you confirm you are authorized to bind that business.

2. What the service is

RestaurantOpsApp is business software. It lets you record ingredient and vendor costs, upload supplier invoices for automated data extraction, cost recipes and menu items, track price changes over time, run inventory counts, and produce reports.

The service is an internal recording and reporting tool. It does not process payments to your suppliers, does not place orders, does not hold or transmit funds on your behalf, and is not a bookkeeping, accounting, tax, or legal service. Figures it produces are calculated from data you or your team enter.

3. Accounts and your team

You need an account to use the service. You are responsible for keeping your credentials secure and for all activity under your account. Tell us promptly if you believe an account has been compromised.

Your company account can have multiple users. The person who created the account, and anyone they promote to an administrator role, can invite and remove users and can see all company data. Your plan may limit how many users your company can have.

4. Trial

New companies get a 14-day free trial. No payment card is required to start it. When the trial ends, access to the working areas of the app pauses until you subscribe. Your data is retained and becomes available again as soon as you subscribe.

5. Plans, billing, and renewal

Paid plans are $89.00 per month for the Founder plan, which is limited to the first 10 paying places, and $99.00 per month for the Standard plan, which opens when the Founder places are full. Your plan includes one location. Each additional location is $49.00 per month, and a change in the number of locations takes effect at your next renewal. Every paid plan also includes a required one-time Onboarding and Data Setup service: $299.00 for your first location and $149.00 for each additional location, whether you add them together or later. It is charged once per location and is not charged again for the same location. Your first charge for one location is therefore $388.00 on the Founder plan or $398.00 on the Standard plan, and every month after that is the plan rate plus any additional locations. All amounts are in US dollars.

The Onboarding and Data Setup service covers up to 5 suppliers loaded from invoices you provide, up to 15 recipes costed, your storage areas captured in count order, and up to 4 hours of live time with us across two sessions, for each location. It is delivered remotely by screenshare by default. On-site onboarding is available and is quoted separately. We aim to have you live within 7 business days of your first session, which depends on you supplying invoices and recipes. Work beyond these limits is available but is not part of this fee.

Subscriptions are billed monthly in advance and renew automatically until cancelled. Payments are processed by Stripe. We do not receive or store your full card details. Charges appear on your statement as RESTAURANTOPSAPP.

The Founder plan is a limited early-access rate. While your subscription remains active and in good standing, its monthly price will not increase. If it lapses, the rate may no longer be available.

6. Cancellation

You can cancel at any time by emailing support@restaurantopsapp.com from the address on your account. Cancellation takes effect at the end of the period you have already paid for, and we do not refund part of a paid month. We do not delete your data when you cancel.

Refunds are covered by our Refund Policy.

7. Your data

You own the data you put into the service. You grant us only the permission needed to host, process, back up, and display it so the service can function. We do not sell your data and we do not use your cost or vendor data to train models for other customers.

You are responsible for having the right to upload what you upload, including supplier invoices. You can export your data or request a copy at any time while your account is open.

8. Invoice scanning accuracy

The service can extract line items from photographed or uploaded invoices automatically. Automated extraction is not perfect. Every extracted invoice is presented for your review and must be approved before it affects your costs. You are responsible for reviewing extracted figures before relying on them. We are not liable for decisions made on unreviewed or incorrect data.

9. Acceptable use

Do not use the service to break the law, infringe someone else's rights, upload malicious code, attempt to gain unauthorized access to our systems or another company's data, resell or white-label the service without our written agreement, or place automated load on it that degrades it for others.

10. Availability

We work to keep the service available and to back up data, but we do not promise uninterrupted service. We may need to interrupt it for maintenance, updates, or reasons outside our control. We may change features over time. If we make a change that materially reduces core functionality you rely on, we will give reasonable notice.

11. Suspension and termination

We may suspend or close an account that breaches these terms, that is used unlawfully, or for which payment has failed and remains unresolved. Where practical we will contact you first. You may stop using the service and close your account at any time.

12. Disclaimers and limits

The service is provided as is, without warranties of any kind beyond those that cannot be excluded by law. We do not warrant that it will be error free or that its calculations will meet a particular business outcome.

To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential losses, or for lost profits, lost revenue, or lost data. Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose.

13. Changes to these terms

We may update these terms. If a change is material we will notify account administrators by email or in the app before it takes effect. Continuing to use the service after that means you accept the updated terms.

14. Governing law and contact

These terms are governed by the laws of the State of New York, United States, without regard to its conflict of law rules.
